Case Study - Compliance resources, out of the filing cabinet

Overview

The State Authorisation Network assists institutions with regulatory compliance for out-of-state activity. The information members needed was scattered across external documents, and registration happened somewhere else entirely. Two things were needed: members had to be able to find, filter and search compliance resources in one place, and the team had to manage registrations without an off-site tool sitting between them and their own data.

What we built

We built a structured content management system inside the existing Drupal site, with reusable content types and custom templates replacing the reliance on external files. Views and Paragraphs made the regulatory resources searchable and filterable, where before they were only listed.

Registration moved on-site, with new webforms and workflows for membership and events, plus export and filtering for the team managing them. SAN already had a design partner, so we worked alongside them.

The maintenance agreement

A 12-month agreement followed: quarterly updates to Drupal and contributed modules, daily backups with tested restoration, vulnerability scanning, and a tiered support SLA with one-hour acknowledgement on emergencies.

Accessibility runs on a schedule: structured reviews twice a year using automated and manual testing, prioritising the most critical issues each cycle and reporting the rest with costed recommendations.

The outcome

Members access compliance resources directly on the site. Registration runs in one place. The team updates everything centrally instead of maintaining the same information in several formats. Accessibility improvements happen on a schedule instead of after a complaint, and the maintenance programme has been extended beyond 2025.
